Refunds and Cancellations
All cancellations must be made in writing (via email) to the Congress Secretariat at [email protected] 

Substitute delegates can be nominated and accepted with no additional fee.

Registration fees will be refunded less a 25% cancellation fee if received up to eight weeks prior to the first day of the event. No refund is payable due to delegate withdrawal following this date (20 February 2024).

Please note that cancellation fees will apply whether or not payment is received at the time of registration. By submitting your registration, you are agreeing to these conditions.

Liability / Insurance
In the event of industrial disruptions or natural disasters, the WVAC2024 cannot accept responsibility for any financial or other losses incurred by the delegates. The  WVAC2024 and the Organising Committee take no responsibility for injury or damage to persons or property occurring during the Congress. All insurance, including medical cover, or expenses incurred in the event of the cancellation of the Congress is the individual delegate’s responsibility. Delegates are encouraged to choose a travel insurance policy that includes loss of fees / deposits through cancellation of your participation in the Congress, or through the cancellation of the  Congress itself, loss of airfares for any reason, medical expenses, loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The WVAC2024 will take no responsibility for any participant failing to insure.

Dietary Requirements
We cater for guests who require a vegetarian, gluten free meal or food allergies (such as nut, shellfish or egg). However, any lifestyle or special meal requests may be subject to a menu surcharge. All dietary requirements need to be specified at the point of registration or advised at least 14 days prior to the commencement of the Congress.

Shared Registrations
Please note one registration form with payment must be received per attendee. Shared registrations are not permitted. 

Force Majeure
WVAC2024 shall not be liable for any loss caused by the cancellation of the conference where such cancellation is due to Force Majeure. The organisers will use all reasonable efforts to conduct the Congress  despite the intervention or occurrence of any such cause.

In this clause, Force Majeure means circumstances which are beyond the reasonable control of the  WVAC2024 and which are reasonably likely to affect WVAC2024 ‘s successful delivery of the Event or would make it inadvisable, impracticable, illegal, or impossible for a party to perform its obligations as originally contracted under this Agreement, including: fire, flood, earthquake, extreme adverse weather conditions, failure of electric power, gas, water, or other utility service, collapse of building structures, widespread disease or other public health emergency (including pandemic or epidemic), strike or other industrial action, the outbreak or declaration of war, act of terrorism, revolution or government orders or action (including the declaration of a State of Emergency).

If, as a result of Force Majeure, WVAC2024 cancels the Event/s, WVAC2024 shall use reasonable commercial endeavours to reschedule the Event.

Without prejudice to its obligations WVAC2024 accepts no liability and will not be liable for any compensation where the performance of its obligations under this Agreement is affected by Force Majeure.
